Description: | Purpose of this Position
To compliment Sales and Technical Support efforts in meeting/exceeding customer expectations. This position will complete as necessary, administrative functions within the Technology Business Unit. This position is critical to allow sales people to sell and technical people to support customers, simultaneously while administrative requirements are being completed in the back-office.
Major Responsibilities
Coordinate Technology Inventory Process
o Order Technology components from Caterpillar, Trimble and others
o Assist with shipping and delivery of Technology components in support of sales
o Validate and approve supplier invoices for payment
o Establish and manage processes supporting the accuracy and reporting of inventory information in DBS
o Coordinate all inventory processes to maximize efficiencies and to ensure no duplication of effort
o Coordinate periodic physical inventories of all Technology equipment
o Utilize results of periodic physical inventories to audit the accuracy of Accounting Software and monitor process efficiencies
Maintenance of All Databases for Technology equipment
o Monitor and facilitate resolution of outstanding warranty claims
o Monitor Technology equipment returned for repairs
o Process required component serial number changes
o Coordinate firmware/software upgrades
o Monitor loaner components and replacements
Processing of Machine Billing documents for Technology equipment sales and leases
o Monitor and coordinate receipt of required sale/lease documentation following notification of machine delivery
o Summarize terms of sale/lease in Machine Billing Database (within three days of machine shipment)
o Verify equipment components in Database reconciles to sale/lease agreement
o Assign machine billing record to appropriate NMC personnel for final review
o Forward document copies to required departments (ie: warranty information)
o Maintain log of missing documentation and follow-up in a timely manner
Maintain and distribute Technology Business Unit Dashboard
o Provide monthly inventory level
o Provide business unit P/L statement (revenue, GP, contribution, etc.)
o Provide warranty information (returns, costs, failure types, turnaround time, etc.)
Maintenance of Customer relationship management Database Technology processes
o Enter and monitor sales leads
o Provide periodic reports for follow-up Activities, lost sales, and forecasting
Review and research monthly resources for new product information and updates
o Review industry publications and websites
o Distribute pertinent information to appropriate sales and management personnel
Organize information for monthly Technology Business Unit newsletter/email
Supervision
Receives supervision and work direction from the Technology Division Manager
Coordinates and communicates with, the Technology Sales Representatives and the Technology Technical Support people to meet customer needs with the dealer territory
Coordinates and communicates with, the Technology Sales Representatives and Technology Technical Support people to complete component acquisition, customer invoicing, warranty repairs, and other administrative tasks as detailed above.
Special Training and/or Abilities
Ability to listen to and document, the Voice Of the Customer (VOC) to proactively anticipate wants and needs within the contractor/construction markets
Ability to work closely with other NMC Administrative functions to establish standards and consistencies with the administrative process
Work closely with suppliers to improve the purchasing, inventory, and invoicing processes
Customer service/interaction skills for pro-active follow-up with customers concerning the status of repairs
Creativity to help display Business Unit metrics in a manner that brings awareness to key individuals with the unit/company
Required Technical Skills
Proficient use of personal computer
Proficient with MS Office Suite Software (Excel, Word, Access, Lotus Notes, etc.)
Proficient with Caterpillar DBS software as it pertains to GPS sales
Proficient with Lotus Notes software for email, scheduling, and Trimble Warranty Tracking
Proficient with SAP Purchasing Module
Ability to operate a mobile telephone
